Submission & Registration
Your questions about submissions and registration, explained:
Is abstract submission sufficient?
Yes. Submitting only an abstract is enough for participation and presentation at the conference. Full papers are not mandatory β they may be submitted after the conference if you want to be considered for publication in proceedings or journals.
What does the publication process involve?
All accepted abstracts are published in the official Abstract Book (with ISBN). After the event, authors may be invited to submit their full papers for publication in the conference proceedings, selected journals, or monographs.
How long does the review process take?
Reviews normally take about 7β14 days. In busy periods it may take a little longer, but we always inform you as soon as your paper is reviewed.
Do I need to register before my paper is reviewed?
No, you can wait for the review decision before registering. However, if you register earlier, your place is guaranteed. If your submission is declined, you can revise and resubmit.
Where can I download templates for abstracts and full papers?
Templates are available on the βSubmissionβ page of the conference website. They are free to download and easy to follow.
Do all authors need to register?
Only the authors who will attend (either in person or virtually) need to register and pay. Co-authors who do not participate are not required to register.
Is there a limit to the number of co-authors?
No, there is no restriction. You can include as many co-authors as necessary.
Who receives a certificate?
Certificates are issued to all registered authors who participate in the conference, whether presenting or attending virtually.
For Listeners
We welcome attendees who want to learn, network, and enjoy the event without presenting a paper.
Can I attend without submitting a paper?
Yes, you can join as a listener. Simply complete the registration form and select βListenerβ as your participation type.
Do listeners receive certificates?
Yes, all listeners receive a participation certificate.
Can I switch later from listener to presenter?
Yes. If you decide later to present a paper, you can submit your abstract before the submission deadline and update your registration type. You will need to pay the difference between the listener fee and the presenter fee β simply create a Support Ticket and we'll provide a payment link for the additional payment.
Are student listeners welcome?
Yes! We offer discounted fees for students who attend as listeners. Please bring proof of student status when registering.

What payment methods are accepted?
We accept PayPal, major credit cards, and bank transfers.
Can I pay via bank transfer?
Yes, just include the conference title and your name in the transfer description. Bank transfers may take a few days to confirm. Invitation letters are issued once payment is confirmed.
Is on-site payment allowed?
No, all fees must be settled before the event begins.
How do I get a proforma invoice?
Contact us with your participation details, and we'll issue one promptly.
Are group discounts available?
Yes, groups of three or more can request a 10% discount.
Can additional details be added to the receipt?
Yes, we can customize the invoice or receipt with the information your institution requires.
What does the registration fee cover?
It covers presentation slots (if applicable), digital conference materials, certificates, access to all sessions, networking opportunities, refreshments, and more.

Where is the conference held?
The conference takes place at Postillion Hotel & Convention Centre WTC Rotterdam. Venue details are listed on the website and will also be sent to you with the final programme before the event.
Are the proceedings indexed?
Yes, the proceedings are published with an ISBN and submitted to Google Scholar for indexing.
Can I switch my participation type?
Yes, you may switch between in-person and virtual attendance by notifying us in advance. If you switch from virtual to in-person, you will need to pay the difference in the registration fee. Contact us via a Support Ticket and we'll send the updated payment link.
What is the virtual platform used?
All online sessions are hosted on Zoom. Instructions and access links are provided before the event.
City Tour & Guests

Can I bring a guest to the city tour?
Yes. The city tour is open to registered participants and their guests. You may bring one adult guest (such as a spouse, partner, or friend) with you.
Can I bring my children to the tour?
Yes, children are welcome on the city tour. Please inform us in advance if they will join.
Can guests attend conference sessions?
No, only registered participants can attend academic sessions. Guests are welcome at social activities such as the city tour.
Post-Conference Information
What happens after the event?
Will my full paper be published?
After the conference, you will receive information on how to submit your full paper for publication opportunities.
When will certificates be issued?
Digital certificates are emailed shortly after the event.
What if there's an error on my certificate?
Contact us and we will issue a corrected version promptly.

No, participants must arrange their own transportation.
How can I get photos from the event?

Can I receive an invitation letter before payment?
No, invitation letters are issued only after payment confirmation. This ensures compliance with visa regulations.
Does the organizer provide accommodation or travel assistance?
We do not provide financial support, but we recommend hotels near the venue on our website.
